Sample Donation Request Letter

November - 29 - 2010 Author: Elizabeth Moore 3 Responses

It is not an easy task to ask for donations from people in any community. You need to approach people with tact and not appear as if you are forcing them to pay up. You can write donation request letters to prospective donors. This will help the donor know more about your non-profit organization. The donation request letter should be written in such a manner that it elicits interest about your organization in the donor’s mind. This will help the donor call you over for more information, and if you are lucky enough, get money for your cause. But how do you write a solicitation letter for donations? You can use some of these sample donation request letters as a base to draft your own letters. Let’s have a look at some tips that will help you in drafting a donation letter.

Sample Donation Request Letter Format

The donation request letter should be able to draw a picture of the cause that you are associated with. If you are trying to help an orphan girl child get education, you need to paint the image of these girls in your letter. You should introduce yourself and the organization in the first paragraph. Then, the body of the letter needs to contain information that helps the reader become a regular donor. You need to explain the different ways in which you plan to use the donor’s monetary aid. If you are looking for donations in kind, you need to mention that too in the letter. Make sure you type the letter on the letterhead of your non-profit organization. The ID number or registration number of the non-profit organization should be clearly visible too. You should also thank the donor for any previous donations. Your donation request letter should look as professional as possible. Do not write really long letters, as no one has the time and patience to read through pages of your letter. Make it short, concise and full of required details regarding the donations. Let us have a look at some sample donation request letters. You can read more on letter writing tips.

Sample Donation Request Letter for Non-Profit Organization Date

Dear Mr./Mrs. (Surname of recipient)

As some of you may know, People for Children has been organizing a Walk for Child Education for the past several years. The Walk for Child Education provides funding for Holy Cross School for Orphan Children. The money that you donate helps educating and providing shelter to the orphan children in our community.

This year too, the walk will be held at Schunzer Drive on (date/month/year). It is a 15 mile walk, and the volunteers will train for several months to be prepared for the event. In addition to participation, all walkers have pledged to collect a certain amount of donation for this fund raising event.

I am contacting you to ask if you would be willing to sponsor me with a tax deductible donation. Any donation will help, and your support will help ensure that the children at Holy Cross School for Orphan Children will continue to receive shelter, food and education they need so desperately.

I hope that I can count on you to support me. You can contact me on xxx-xxxx and I can come over to help provide you with more information or to collect the donation you would like to pledge for these orphan children.

Sample Donation Request Letter for Church Date

Mr. James Brown,

Dear Mr. Brown,

I am Ann Boyd and I represent the Holy Cross Trust. We are planning to rebuild the Old Towners Church in your area. We have been able to collect half of the amount needed for this task from various individuals as well as through holy acts by our volunteers. As we are falling short of amount needed, we are requesting other members of the community for donations. Hence, we are writing this letter requesting you to help us in any way you can for fulfilling this noble work of God. Your contribution however small is appreciated and will never go in vain.

You can deposit your check at the nearest Holy Cross volunteer center or directly at our center in the Old Towners Church.

Thanks and regards,
